If you've just been handed the job of ordering temporary floor protection for a construction site or renovation project—and you're not entirely sure where to start—this checklist is for you. I've been managing facilities purchasing for about five years, handling roughly $200,000 in annual vendor orders. Floor protection is one of those items that seems simple, until you get it wrong.
This is the exact process I use now. It's based on about 40 project orders in that time. If your project is much larger or smaller, some of the specifics may differ, but the core steps hold up.
Step 1: Walk the Jobsite Before You Order Anything
Ordering floor protection from a desk is how mistakes happen. You need to see the site and answer three questions:
- What's moving across this floor? People on foot are one thing. Rolling ladders, equipment carts, and pallet jacks are another.
- How long will the protection stay down? A one-week punch list is not the same as a three-month fit-out.
- What's the current condition of the floor? Take dated photos now. It prevents disputes later—and yes, I learned that the hard way.
In a recent office renovation, the drywall crew was using a rolling scaffold. If I'd ordered based on foot traffic alone, the boards would have been too light and torn within a day. Because we walked the site first, we knew to go up a grade. That's the difference this step makes.
Step 2: Match the Board to the Duty Level, Not the Price
Temporary surface protection boards—often called ram board, regardless of brand—are not all the same. Thickness and weight vary, and the right choice depends on what's actually happening on the jobsite. For most general trades, a 3mm polypropylene board is the sweet spot. For heavy wheeled traffic, consider something thicker.
From the outside, it looks like cost per square foot is the only number that matters. The reality is that installation time, durability, and floor repair costs are often much bigger line items than the board itself. I've seen projects save $40 on a cheaper roll and then spend $500 fixing a scratched floor afterward.
Check the product data sheet for board weight and slip-resistance rating. A board that's slippery when wet creates a liability, no matter how cheap it is.
Step 3: Calculate Coverage With Overlap and Waste in Mind
Here's where I see procurement go wrong:
Raw square footage is not what you should order. You need to add at least 10-15% for two things:
- Overlap: each seam should overlap by 2-3 inches, not just butt up against the next roll.
- Waste: you'll lose material cutting around doorways, columns, and corners.
Also check the roll width. If your corridor is 9 feet wide, a 12-foot roll means you'll have to cut it, which creates extra waste and installation time. Matching roll widths to your room dimensions can save a lot of hassle.
Step 4: Prep the Floor Before the Boards Go Down
Most installation failures happen before the first board is placed. The floor must be clean and dry. Sweep the area thoroughly. If the floor is dusty, the protection board won't lie flat, and it may shift under foot traffic. If the subfloor is damp—especially with fresh concrete—moisture can get trapped underneath and cause discoloration.
The prep step is not glamorous. But skipping it is how you end up with a floor that looks worse after protection than before. On one job, the crew installed the boards over a dusty slab and, within a week, every footstep caused the boards to slide slightly, scuffing the surface. A 10-minute sweep would have prevented it.
Step 5: Tape Every Seam (Everyone Tries to Skip This)
Rolling out the boards is straightforward. Let them relax for a few minutes before taping. But the step people consistently miss is seam taping.
You need to tape the seams, not just the perimeter. Even a small gap lets dust work its way under the board, and once debris gets underneath, foot traffic turns it into sandpaper. Use a tape meant for floor protection. I once used a regular duct tape to save time, and the adhesive left a residue. (Surprise, surprise.)
Stagger the seams if you're laying multiple rows. This prevents a long continuous seam from splitting open under heavy traffic.
Sealing seams adds about 15 minutes per room. In my experience, it's worth every minute.
What I Wish Someone Had Told Me Earlier
- Don't buy the cheapest board without reading the spec sheet. A thin board might keep dust off, but it will tear the first time someone drags a toolbox across it. The cost difference between adequate and too thin is often small on a per-square-foot basis.
- Confirm the delivery situation. Full rolls of floor protection are heavy and awkward. Ask whether the driver will bring them inside or drop them at the curb. I've had to scramble for a pallet jack on a $300 order. (Ugh.)
- Keep one extra roll on site. For any job longer than a week, an extra roll prevents a panicked mid-project resupply. Most suppliers will accept returns of unopened rolls.
I can't speak to how every brand performs, because my hands-on experience covers a handful of suppliers. But the structure—assess, match, measure, prep, install, tape—has served me well across different projects and budgets. An informed buyer is an effective buyer. That's why I'm sharing this, and why I'd rather spend ten minutes explaining the process now than deal with a damaged floor later.
