Ram-Board Procurement Checklist: 7 Steps to Control Temporary Surface Protection Costs

One opinion up front: floor protection is client-facing. When a client walks the job, scuffed concrete, cracked tile, or dust-filled grout lines shape their first impression. You can't put a change order on that. Saving $200 on protection can cost you a referral. That's the quality perception angle I use when defending the budget line.

Step 1: Define protected areas and risk levels

Walk the job with your superintendent. Mark zones: main entry, finished corridors, stairs, elevator lobbies, material staging, and move paths. Not every zone needs the same spec. I assumed ram-board meant the same thickness and coating across vendors. Didn't verify. Turned out one vendor's 0.8 mm board felt like a cereal box, while another's 1.2 mm handled loaded pallet jacks without buckling. Learned never to assume product names mean identical specs.

Tag each zone as light, medium, or heavy. Light is foot traffic and clean carts. Medium is repeated cart traffic and minor drops. Heavy is pallet jacks, scissor lifts, and demolition debris. Your order will make more sense after this.

Step 2: Measure square footage and add overlap

Measure each zone. Then add overlap and waste. I use 15-20% for seams, cuts, corners, and stair details. Formula: order square footage = protected square footage × 1.2. Stairs are where estimates go wrong. Count treads and risers separately, then add 10% for nosings. If you're storing materials on site (like pallets, carts, or staging racks), include that footprint too.

I've seen crews short by 300 square feet because they forgot corridor turns. A second short order usually costs more than the first delivery because of freight minimums and rush fees.

Step 3: Build a total cost of ownership spreadsheet

This is the step most buyers skip. Unit price is line one. The real cost includes:

  • Freight, liftgate, and inside delivery fees
  • Tape, seam tape, and adhesive
  • Cutting labor
  • Install and removal labor
  • Disposal or recycling
  • Replacement of damaged sections
  • Rush fees if the schedule moves

Example from our Q2 2024 bid: Vendor A quoted $0.72 per square foot and included freight and tape. Vendor B quoted $0.65 per square foot. On a 12,000 square foot job, B looked $840 cheaper. Then I added B's $450 freight, $180 liftgate, and $240 tape. B came to $8,670. A came to $8,640. The unit-price advantage was gone. That's a 0.3% difference, but it flips the decision and adds admin work.

OSHA 29 CFR 1910.22 addresses walking-working surfaces and housekeeping, including keeping floors clean and, where feasible, dry. Temporary protection is part of that housekeeping plan, not just a cosmetic add-on.

Step 4: Get samples and test them like you mean it

Don't rely on spec sheets alone. Get a sample of each candidate. Test on site with the actual traffic: work boots, cart wheels, a dropped tool, and a splash of water. I went back and forth between 0.8 mm and 1.2 mm for two weeks. The 0.8 offered lower cost and easier cutting. The 1.2 handled pallet jacks and stayed flat at seams. Ultimately chose 1.2 for finished areas and 0.8 for back-of-house. Split spec saved about 11% versus all 1.2, and we didn't get a single corner peel in the client-facing zones.

Honestly, samples are cheap. A $40 sample roll is nothing compared to a failed floor.

Step 5: Verify supplier terms and hidden fees in writing

Ask for an email quote with these terms: minimum order, lead time, delivery window, restocking fee, return policy, and batch consistency. If a vendor won't put it in writing, that's a red flag. I built a cost calculator after getting burned on hidden fees twice. One free setup offer actually cost us $450 more in pallet and liftgate charges.

Also ask about board width and roll length. A wider roll can cut labor, but it may not fit tight corridors. A narrower roll can reduce waste in rooms, but adds seams. There's no universal best answer. Run the math for your layout.

Step 6: Run a pilot install before the full order

Install one hallway, one room, or one stair run. Time it. Watch how the crew handles seams, corners, doorways, and transitions. If 400 square feet takes three hours, your full-floor labor estimate is fiction. Adjust the spec, the tape, or the crew size before you release the pallet.

So glad I ran a pilot on a hospital corridor project. Almost ordered the full pallet based on the vendor's install video. The pilot showed our door thresholds needed a different tape. We avoided a weekend rework that would have cost more than the boards.

Step 7: Label, document, and store for reuse

Label boards by zone. Keep extras in a dry, flat storage area. Track how many sheets get reused and how many get damaged. In Q2 2024, after we switched vendors, we cut damage replacements by 18% just by labeling zones and storing boards flat instead of leaning them against walls.

Reuse isn't always possible. Paint, mud, and moisture can ruin a board. But when it works, it's basically free budget. Track it so the next project gets credit.

  • Buying only on unit price. TCO is the number that hits the budget.
  • Forgetting stair nosings, corners, and doorways. Those areas fail first.
  • Using one thickness everywhere. Split specs by risk zone.
  • Skipping seam tape. Debris gets under the boards and scratches the finish.
  • Assuming all ram-board is the same. Verify thickness, coating, and recycled content.
  • Ignoring the client walkthrough. A protected floor still needs to look professional when the client visits.
